What is your personal demographic data used for, and why?
eLife collects demographic information to enable us to monitor and report upon the representation and experiences of different groups across our editorial board, and to identify and address bias in our practices and processes. Our collection, storage and processing of this data is based on your explicit consent, and you are under no obligation to provide any of this data.
What types of personal data do we hold?
The information we hold is that supplied by you via the Editors’ Demographic Data form; this may include your name, gender identity, geographic location, disability and long-term health conditions status, sexual orientation, and aspects of your socio-economic background.
Who do we share the data with, and why?
We share this data with eLife staff, and with organisations required to deliver our services (such as data storage companies). It is never disclosed to other organisations for them to use for other purposes.
Some of these individuals and organisations are outside the European Economic Area (EEA).
We prepare aggregated reports from the individual data in a way that does not allow any individual to be identified, and we may share these widely with staff, editors and the public.
How do we keep the data confidential?
We safeguard your data using appropriate administrative, physical and technical security measures.
When we share your data with others, we have contractual arrangements with them that oblige them to safeguard the data, to use it only for the purposes we have requested, and not to disclose it to any other parties without our consent.
The form of these contractual arrangements varies according to the location of the other party, and we employ stronger safeguards for parties outside the European Economic Area (EEA). As our editors carry out their roles as individuals, it is impracticable for us to have such comprehensive contractual arrangements with them as we have with other third parties.
How long do we retain the data for?
We keep this data for as long as you continue to provide services to eLife, plus six months, unless you ask us to delete the data earlier.
Your rights
You may request a copy of any personal data eLife holds about you, and request to have any incorrect data corrected.
You may object to us processing your data, and may ask us to erase your data.
You may also ask us to stop processing your data in certain specific circumstances.

You may complain about our retention and processing of your personal data to the Information Commissioner’s Office, the supervisory authority for data protection issues in England and Wales.
